We run a number of workshops, summits and launch events internationally, which inspire and allow effective collaboration between participants from our networks. We aim to deliver distinctive and original world-class events that embody our brand while, at the same time, remaining mindful of our charitable status and working within budgetary and timing constraints.
Reporting to the Latin America Network Manager, your primary focus will be leading the production of online and physical events for our network in the region. Working between the Latin America and UK Events teams, you will also be responsible for supporting the inclusion of any regional elements in the Foundation’s international events.
Role & Responsibilities
You will be responsible for:
Coordination and technical support of online events aimed at the Foundation’s Latin American audiences via various digital platforms. Including event planning, timelines, creating and sending out invitations, creating mailing lists, sending follow-up emails to attendees and suppliers etc.
Coordination of international physical or hybrid events across Latin America. Including event planning, timelines, managing registrations, and sourcing and coordinating with venues and suppliers, including team travel and accommodation. Event cost control and budgeting.
Collaborating with other teams within the Foundation to facilitate the inclusion of regional elements in international events, including coordinating the creation of pre-recorded content, communicating with live speakers, participants and partner organisations.
Providing administrative support for the Latin America team relating to the events; setting and enforcing project deadlines to ensure successful delivery without compromising work-life balance for any team members involved.
Organising team briefings in advance of events.
Being responsible for all administration around events including documentation, presentations and dealing with suppliers
Completing the review and feedback process, ensuring learnings are implemented; improving events for both attendees and the whole Foundation team.
Your profile:
Previous experience in Event or Project Management positions would be desirable including the delivery of online and physical events.
Effective communication in Spanish, Portuguese and English; with proven experience of applying these three languages in a professional environment.
Experience of using Event Management Software and a high level of competency with Office suite.
Ability to work well under pressure and deal effectively with high work volumes typical in the build-up to live events with the ability to adapt, change priorities and problem solve before and during events in accordance with the immediate business needs.
Aptitude to work as part of a team as well as independently; embodying a high level of self-motivation.
